Pirate Lab March 2020
About this meeting
Meetings are open to everyone! You don't need to be a member to come here!
Pirate Labs can be seen as incubators for pirate projects. This is the perfect place for people to propose their ideas and to launch new projects.
If you have any ideas of projects, or want to help other projects, please do come!
For the very first time we'll use video conference! You can join on https://meet.jit.si/Piratelab2020-March No extra software is needed if you join from your laptop/desktop via the webbrowser. Please read the Remarks section of the pad before joining!
Languages: English, français, nederlands

Lab starts at 2 pm. For those who want to lunch together before the lab, they can coordinate on the following pad:
Suggestions for the agenda happen on this pad. We strongly advise you to read the pad before coming to this lab!
Because of containment related to the Coronavirus pandemic, we tried videoconference for this lab. We first tried to setup a Jitsi conference, but due to technical issues we decided to switch to our Mumble : https://talk.parley.be
We used the Mumble text chat when audio wasn't working for some reasons, but overall we didn't experience much troubles. While someone was speaking, there was always someone else to take notes on the pad.
We didn't feel the need to split into subgroups, because there were only four attendees and everybody agreed to work on the same topic.
How do we organize ourselves online?
Online meetings are too fast compared to physical meetings, could we find a process to make online decisions ?
We are not saying that there is a hierarchy between physical meetings and online meetings, were physical meetings would be more important. Maybe what we need to make a decision is something more than just text and informal discussion.
Both online and physical meetings can be excluding people: - who don't feel at ease with technology - who can't move easily, due to some disability for instance
We should probably find a mix between physical and online meetings. For instance, we could invite people at home to participate together with the online meeting (although this is not always possible with a quarantine situation). We could also have a physical meeting and connect to a audio conference so that remote people can follow and participate too.
How to take decisions online? For instance, the decision for the audio conference tool used for this lab was made really quickly. We should always have a look at the mindmap done by the workgroup about decision-making process :
Projects have been launched: need more people? better tracking?
Different projects have been launched, mostly in the labs but not always, and with always the same people.
When we launched these projects, we knew that we wouldn't be able to achieve them alone. The person who proposed the project was just looking for help and people to work on these projects.
Proposal: better organize and track the projects, which would give more chance to find new people and achieve each project
Proposal: with the people who say they want to work on a project, make priority criteria, instead of trying to find new people first
The idea with the second proposal is that if we have, for example, three people who each want to do something, but they would also help with the projects of the other people, we could prioritise and then work together on the project that is considered the biggest priority instead of dividing forces or constantly switching to "the latest new thing".
Decision: Create a project that will cleanup old projects on loomio and on the wiki. In the meantime, we will follow up this cleanup project by organizing a meeting on 29th March 2020 at 13h
Should we advertise new projects via newsletter? in the crews?
There needs information about the projects in order to make people participate easily. Therefore, we need to better document projects
- What is it?
- Who can you reach?
- Is there a wiki page (not always required), a loomio, etc.
- Contact the people working on the project to ask how is the project going, if they are blocked, etc.
Steps of the process
- Create a wiki page for that cleaning up project
- Advertise on loomio about what we decided / are doing
- Cleanup the Active Projects wiki page
- Organize a meeting to check what we did, and do the rest if needed : 13h on 29th March, online : https://talk.parley.be/
- How do we decide ? By checking the mindmap !
- List all active/started project that are not on the list yet
- Complete what's missing for each project
- Good description of the project
- Contactperson is known
- Close the cleanup project on the wiki
Next Pirate Lab
Next Pirate Lab will be online, at https://talk.parley.be, on 25th April 2020.
